How Royal Spices Guatemala S.A. collects, uses, stores and protects the personal data of visitors, candidates, suppliers and trade clients.

1. Controller

The data controller is Royal Spices Guatemala S.A. (“Royal Spices”, “we”, “us”), with offices at Zona Pradera Empresarial, Torre 1, Oficina 605, Nivel 6, Zona 10, Ciudad de Guatemala. For any privacy-related enquiry please write to info@royalspices.com.gt.

2. Scope

This Policy applies to personal data collected through our websites (royalspices.com.gt and related domains), our Provider Portal, our Export Client Portal, our trade desk, our recruitment desk and any commercial correspondence with Royal Spices.

3. Data We Collect

We collect: (a) identity & contact data (name, company, email, phone, postal address); (b) trade data (orders, proforma invoices, shipping documents, banking details strictly for payment); (c) recruitment data (CV, work history, position of interest); (d) account data for portal users (email, hashed password, role, audit logs); (e) technical data (IP address, browser, device, pages visited) collected via essential cookies and basic analytics.

4. Purposes & Legal Basis

We process personal data only where we have a lawful basis: performance of a contract (quotations, sales, shipments, portal access), compliance with legal obligations (tax, customs, anti-money-laundering, sanctions screening), our legitimate interests (security, fraud prevention, improving our services) and your consent (marketing, optional cookies, recruitment storage beyond a single application).

5. Cookies

Our site uses strictly necessary cookies to keep portal sessions secure and, optionally, basic analytics cookies to understand aggregated traffic. We do not use advertising or cross-site tracking cookies. You may disable non-essential cookies in your browser at any time without losing access to public pages.

6. Sharing & International Transfers

We share personal data only with: shipping lines, freight forwarders, customs brokers and certifying bodies (SGS, Cotecna, Bureau Veritas) strictly to execute a shipment; banks and payment processors strictly to settle invoices; our hosting and email infrastructure providers operating under appropriate confidentiality and data-protection commitments; and competent authorities when legally required. Where data is transferred outside Guatemala, we rely on contractual safeguards equivalent to those required by recognised international standards.

7. Retention

We keep personal data only as long as necessary for the purpose collected: trade and accounting records for the period required by Guatemalan tax and commercial law (typically up to 5 years after the last transaction); recruitment data for up to 12 months unless you ask us to keep it longer for future opportunities; portal account data while the account is active and for 24 months thereafter for audit purposes.

8. Security

We apply technical and organisational measures appropriate to the risk: encrypted transport (HTTPS/TLS), encrypted storage of credentials, role-based access control, signed URLs for confidential trade documents, and least-privilege access for our staff. No system is perfectly secure; we will notify affected parties and authorities of any material breach as required by law.

9. Your Rights

Subject to applicable law, you have the right to access the personal data we hold about you, to request correction of inaccurate data, to request deletion where there is no overriding legal duty for us to retain it, to object to or restrict certain processing, to withdraw consent at any time without affecting prior processing, and to lodge a complaint with the competent authority. To exercise any right write to info@royalspices.com.gt; we will respond within thirty (30) calendar days.

10. Children

Our services are addressed to commercial counterparties and adult professionals. We do not knowingly collect personal data from minors. If you believe a minor has provided us data, please contact us and we will delete it.

11. Changes

We may update this Policy to reflect changes in law or in our operations. The “last updated” date below indicates the version in force. Material changes will be notified through our website or, for portal users, by email.
